below are some guide-lines to help you achieve this aim

Seller Guide-lines

Post & Packing

  • Sellers should be willing to review posting costs. With multiple winnings combining the items in a single package will sometimes reduce the postage costs, sometimes not.
    • In auctions where post & packing has been included in the auction price or is listed as free, any reduction in shipping costs for multiple purchases is at the sellers discretion.
  • Where shipping is going to be at the buyers own risk they should be offered suitable insurance and informed of the risks of not taking it.
  • When posting winnings the seller should obtain proof of posting and be willing to pursue items lost / damaged in the post.
  • Remember the risks of not using a trackable post when accepting PayPal.
Clear Costs
  • If you are VAT registered it should be mentioned in the item description, you could give your registration number so buyers can check its validity.
  • Credit card surcharges should be clearly displayed.
  • Sellers should be willing to clearly itemize all costs if asked, if there is nothing to hide then it should be no problem.
  • Post and packing charges should not be used as an extra means to profit from the transaction.
  • No charging full price for packaging and then reusing / recycling old packing materials.
  • Costs should not be used as a hiding place for extra profits.
Photos
  • If the item being sold is rare, old, collectable, unique or expensive then the photo(s) should be of the actual item being offered or should clearly state 'for illustration only' or similar.
  • If the item is in a different condition to the picture that should also be clearly stated.
Item Descriptions
  • No hidden clauses, mis-described items, misleading descriptions (empty boxes etc) or omitting pertinent details.
  • If the item being sold is not yet in the sellers possession this should be clearly stated (a prime example of this is concert tickets).
Communication
  • Sellers should respond to questions from potential buyers giving the buyer enough time to bid if they receive a favourable answer -
    • except for questions raised in the last 24 hours of the auction.
  • Winner should be contacted within 3 days of auction ending.
  • Winner should be kept informed of progress of transaction, either through mailings at key stages (payment received, payment cleared etc) or by being given estimates of time to completion, which are updated where necessary.
  • Seller should contact winner when item is posted.
Unattended Auctions
  • Sellers should be available to answer e-mails during auction (no long holidays) especially towards the end of the auction.
Refunds
  • Where a buyer has a valid reason for returning an item and has agreement from the seller then on receipt of the goods the purchase cost will be refunded.
    • In some circumstances the buyer may be asked to cover the sellers expenses (listing & final value fees, PayPal, Billpoint etc).
    • In other circumstances the seller might refund the buyers postage costs.
    Exactly how much is refunded will vary from item to item and is dependant on the reason the item is being returned. Unless otherwise indicated by the seller items are not being sold on an approval basis.
Honour Contract of Sale
  • Provided the buyer meets the sellers terms and conditions the seller should honour their contract of sale. (The Auction should be ended early if there is a reason not to go through with the sale).
-1 Feedback Bidders
  • Rather then just cancel all bids from users with -1 feedback, if there is sufficient time the seller should contact the bidder and enquire about the reasons for the low feedback, seek clarification for anything which has been entered in their feedback comments and ask for some contact details. If the bidder replies, a more informed and less arbitrary decision about canceling their bid can be made. Otherwise if no answer is received the bid can still be cancelled and the bidder blocked before the auction ends.

Nurturing Newbies
  • We were all new to online auctions once and many of us probably made mistakes in the early days. When dealing with a new auction user a fair trader should provide help & assistance and should be willing to bend his rules a little if necessary.
  • It is too easy to assume that every low feedback user who appears to be giving problems is going to end up as a non paying bidder.
  • If you feel they need some assistance send them the url for the Fair Traders Scheme and advice them to have a browse around the site.

Being a Fair Buyer

Don't bid if you don't want the goods
Time wasters who win members auctions and have no intention of paying are likely to find themselves blocked by other scheme members.

We expect to be paid
No bouncing cheques. Please ensure you can pay by a method the seller accepts before bidding.

We expect you to confirm the goods have been received
by either leaving feedback or e-mailing.

If you have any questions please ask
If the answer is going to affect your decision to buy the item please don't bid until you have received our answer, we will try to get back to you in good time for you to place your bid.

Canceling bids
If you make a mistake, contact the seller and explain it, then the seller can cancel your bid.

Communication
We expect you to communicate with us and please ensure you mention the item you are buying in your e-mail.

Be reasonable
Don't ask the impossible, if you have low feedback and want an expensive item quickly don't offer to pay by cheque.

Sniping
A recent survey showed that most sellers are happy to be sniped, liking the way the price jumps in the last seconds of their auctions. Please check terms prior to sniping because a few do not allow snipers.

Paying by post
If you send your payment by post please ensure you include details of the item you are paying for and your address, written clearly.

Please take a few moments to read the Terms & Conditions before you bid and if you have questions ask the seller before bidding

Buy It Now
If you use the Buy It Now button we expect you to spend a few moments either contacting us to request payment details etc or checking out.

Feedback Policy

It is suggested that Members and their buyers adopt the following feedback policy

  • The transaction is not completed until the buyer has received the winnings.
  • On receipt of the winnings the buyer should inform the seller by either leaving feedback and or by e-mail.
  • The Seller will then leave Feedback (some sellers do this in batches please be patient)
  • The Buyer should then leave feedback if they have not already done so.

  • Please try and resolve any issues before leaving negative feedback, remember feedback cannot be retracted once given. (Stick to the facts, abusive feedback can be removed by eBay, while libel and slander could result in court action in extreme cases)

Join the Fair Trader Scheme

FREE TO JOIN

The scheme is open to auction Sellers & Buyers.
To qualify for Fair Trading Scheme membership you need
  • A feedback rating of 33 or more
  • 99%+ positive feedback
  • No recent negative feedback (within the last month)
  • Sellers should be following a fair trade ethos in their currently listed and recently completed auctions
Scheme members who have multiple user ID's, either on the same auction site or on different sites, can display the scheme logo on all their ID's, regardless of the accounts feedback, provided at least 1 account has 33 or more.

Members have access to scheme logos for use in their item descriptions, pages, e-mails, etc, will be added to the Fair Trade Mailing List and are able to exchange information about bidders that have given them problems.
